Privacy Notice
The Society of The Friends of St Magnus Cathedral (SCIO) is a Scottish Charitable Incorporated Organisation, Scottish Charity Number SC053983, with its registered office at 2 Ingavoe Drive, Kirkwall, Orkney, KW15 1WT.
We are the data controller for the personal information described in this notice. If you have any question about how we handle your information, please contact the Honorary Secretary at secretary@friendsofstmagnus.com.
What we collect, and why
When you join the Society
Our membership form asks for your title, first and last name, postal address, email address and telephone number, together with your chosen membership type, the amount you are paying and how you intend to pay. You may also tell us that you would like to make an additional donation.
We use this to record your membership, to collect your subscription, to send you the Chair’s Report and notice of the Annual General Meeting, and to contact you about your membership.
Membership includes one free tour of the Cathedral, by agreement with Orkney Islands Council. When the Council asks us to confirm that you are a member for this purpose, we share only what is needed to do so.
Our lawful basis is the performance of our agreement with you as a member, and our legitimate interest in administering the Society.
Gift Aid
If you make a Gift Aid declaration, we record that declaration and the amounts you have given so that we can reclaim tax from HM Revenue and Customs. We are required by law to keep these records and to share the relevant details with HMRC. Our lawful basis is compliance with a legal obligation.
When you donate
Donations may be made by PayPal, bank transfer, standing order, cheque or cash. Where you pay by PayPal, your payment is handled by PayPal and not by us. Where you pay by bank transfer or standing order, your details appear on our bank statements. We do not store card or bank account details ourselves.
When you sign up for our newsletter
If you sign up on our website, or tick the box on our membership form, we keep your email address, and your name if you give it, so that we can send you our newsletter and an email when we post news on the website. We ask you to confirm by email before we add you to the list. The list is held using MailPoet, and our emails are sent through MailPoet’s sending service. Our lawful basis is your consent. You can unsubscribe at any time using the link in every email.
When you contact us
If you write to us through the website or by email, we keep your message and contact details so that we can reply and, where relevant, keep a record of what was agreed.
The Council area
Parts of this website are restricted to members of the Council. Access is by password. We keep a record of who has been given access.
Cookies and website analytics
This website uses cookies that are necessary for it to work, including remembering that you have logged in to the Council area.
We also use Google Analytics to understand how the site is used, for example which pages are visited and how people find the site. Google Analytics only sets cookies if you accept statistics cookies in the cookie banner. If you do not, Google may receive a basic signal that a page was viewed, without cookies and without information that identifies you. Information about your visit, including a shortened version of your IP address, is processed by Google on our behalf. Our lawful basis is your consent, and you can change or withdraw it at any time using the “Manage consent" tab shown on the website.
Some pages include videos from YouTube. These only load once you have accepted cookies, because YouTube sets its own cookies when a video is played.
We use Google Search Console to see how the site appears in Google search results. It does not place cookies on your device.
Our Cookie Policy lists the cookies the site uses and what each one is for.
You can also refuse cookies through your browser settings, though parts of the site may not then work as intended.
Who we share your information with
We do not sell your information, and we do not share it for marketing purposes. We share it only with:
- HM Revenue and Customs, for Gift Aid claims
- PayPal, where you choose to pay that way
- Orkney Islands Council, to confirm your membership when you use the free Cathedral tour that comes with it
- our bank, in the ordinary course of banking
- MailPoet, which holds our mailing list and sends our newsletter and news emails
- Google, which provides Google Analytics for our website statistics, where you have accepted statistics cookies
- our website host and technical suppliers, who act on our instructions
- anyone we are legally required to share it with
How long we keep it
We keep membership records for as long as you are a member, and for six years afterwards, so that we can meet our obligations under charity accounting rules.
Gift Aid records are kept for the current tax year plus six years, as HMRC requires. Newsletter subscriptions are kept until you unsubscribe. General enquiries are kept for two years unless there is a reason to keep them longer.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to object to how we are using it, to ask us to restrict its use, and to receive it in a portable form. Where we rely on your consent, you may withdraw that consent at any time.
To exercise any of these rights, contact the Honorary Secretary at secretary@friendsofstmagnus.com.
